CLUB PORTAL HANDBOOK
Your guide to the club portal.
Find the main workflows, understand responsibilities and get your club started. Available features and permissions depend on your club setup.
KINOVO
01 · Getting started and roles
Kinovo supports separate clubs. Your access depends on your club and role. Club administrators manage club records and settings; coaches use the areas their role permits. Parents and children generally use the connected app. A member label and an account permission are different concepts: ask your administrator if your access does not match your responsibilities.

02 · Signing in
Open portal.kinovo.at/login in your browser. Sign in with your username or registered email and password. Use the password reset option if needed. Two-factor authentication can provide additional protection. Sign out when you have finished, especially on a shared device.
KINOVO
03 · Dashboard and invitations
The dashboard brings together club information, upcoming events and relevant administration items. Use the club invitation code or link when inviting members. Review incoming join requests before accepting them.
KINOVO
04 · Members
Open Members to search and filter club records by status, role or group. Open a profile to review and update its details. Keep parent-child connections and group assignments accurate. Import existing lists in a supported format and review records for duplicates before importing.
KINOVO
05 · Joining with a code
Share the club or group invitation code with the intended people. A joining request can then be reviewed by the club. A group-specific code helps route a new member to the right team.
KINOVO
06 · Groups
Use Groups to organise teams and subgroups. Assign members and coaches to the relevant group. Check assignments when someone changes team or takes on a new responsibility.
KINOVO
07 · Calendar and events
Create training sessions, matches or other events with a title, start and end time and the details participants need. Assign an appropriate group. Review replies on the event and update the original event if plans change.
KINOVO
08 · Attendance
Select the relevant event and record who attended. Use the available attendance statuses consistently and add a note when needed. Attendance records should reflect the actual session, rather than only the replies received beforehand.
KINOVO
09 · Training plans
Use Training plans to organise session content and exercises. Keep the plan associated with the right team so that the relevant coaching staff can find it.
KINOVO
10 · Match results
Record results in the match results area and associate them with the correct team and event. Review the details before saving so the season record remains useful.
KINOVO
11 · Line-ups
Create a line-up for a match, select the relevant team and choose a formation. Assign available players to positions and keep substitutes separate. Custom formations allow the club to represent its own playing arrangements.
KINOVO
12 · AI co-coach
The optional co-coach provides AI-assisted suggestions. Review its output before using it. Content needed for the request is sent to the AI provider; consult the current privacy information before entering personal or sensitive information.
KINOVO
13 · Club posts
Use Posts to share news with the club or a selected group. Check the audience before publishing, particularly when a post includes photographs or information about children.
KINOVO
14 · Notifications
Authorised administrators can prepare messages for the club, a group or an individual member. Check recipients and timing before sending or scheduling a notification.
KINOVO
15 · Surveys
Create surveys to gather feedback from members. Select the audience, questions and closing date, then review the responses in the portal. Keep questions relevant to the stated purpose.
KINOVO
16 · Documents
Organise files in folders and set their visibility. Access may depend on a role or group. Check the intended audience before uploading private club or family information.
KINOVO
17 · Facilities and bookings
Administrators can manage sports facilities and view bookings in the facility calendar. Review the availability and booking rules. An event may also reserve a facility. Before deleting a facility, check its associated bookings and events.
KINOVO
18 · Inventory
Use the inventory areas for kit, equipment and other club resources. Record issues and returns so the club can see what is available. Different categories may offer different stock or tracking actions.
KINOVO
19 · Contributions and payments
Create contribution records and review their status. Use reminders carefully and check recipients. This is contribution administration and payment tracking; it does not mean every payment method or direct debit service is integrated.
KINOVO
20 · Combined invoices
Use the invoice area to group relevant contributions, for example for a family. Check the payer, included records and totals before issuing an invoice or exporting a document.
KINOVO
21 · Settings and language
Club administrators maintain the club’s details and available settings. The Kinovo superadmin selects German or English for the club’s customer interface. Platform administration remains separate. Changing the language does not translate text entered by your members.
KINOVO
22 · Privacy and security
The portal is hosted by Hetzner in Germany. Additional services support individual functions and may process data outside the EU. Use the current privacy notice and your club’s agreement for provider and retention details. Assign only the access each person needs.

23 · Getting help
If an invitation fails, check the code and club status. If an email is missing, check the address and spam folder. For a sign-in problem, confirm that the account is active and try password reset. Contact kinovo@kinovo.at with the page, steps and error message; never send your password.
